Contract and support essentials

  • Which devices, locations and users the service covers.
  • Service hours, response methods and urgent-issue contacts.
  • Arrangements for on-site work, parts, licences and third-party charges.

Service hours, response and resolution targets, site visits and check frequency are specified in the contract. Hardware replacement, data recovery and vendor repairs depend on the circumstances.

01

Start with problems that interrupt work

Begin with the issues staff encounter each day: slow computers, printing failures, email problems, unreliable Wi-Fi or equipment setup for new employees. Explain who is affected, when the problem occurs and how it is currently handled.

  • Staff computers, printers and peripherals.
  • Operating systems, everyday software, email and network settings.
  • Equipment and account requirements for new employees or device replacements.
02

Plan fault support and routine security together

Existing computer-maintenance services cover hardware checks, software configuration, helpdesk work, servers and backups. Separate scheduled work from fault-response requirements, and identify which tasks remain with the company or its existing vendors.

  • Operating-system and software updates, endpoint protection and equipment health checks.
  • Account and administrator-permission reviews, including access removal when staff leave.
  • Backup-process checks and restore tests, with outstanding issues recorded.
  • Approval, permissions and activity records for vendor remote support.
03

Agree contact, approval and follow-up arrangements

Appoint a company contact and plan troubleshooting, necessary site visits and ongoing maintenance around common issues. The company should approve updates, outages and permission changes that affect operations. Work records and maintenance reports document what was done and the next steps. Service hours, response arrangements, equipment coverage and exceptional incidents are listed separately in the proposal.

04

Information to prepare for an enquiry

An initial enquiry needs only a problem description and equipment overview. Do not send passwords, verification codes or complete customer records.

  • Office locations, staff and computer numbers, operating systems and main software.
  • Printers, network equipment, servers and existing vendors.
  • Recent faults, current backups and the improvements to prioritise.
  • Available maintenance periods and the company contact authorised to approve work.

Service scope, hours and fees are subject to the agreed proposal.

Common enquiries

You may also want to know

Can we enquire about outsourced IT if we only have a few computers?

Yes. Provide the equipment numbers, recurring problems and work you need to discuss scheduled maintenance and fault support. You do not need to decide to replace everything first; quotations can separate support for existing equipment from other installation work.

Can we fix an immediate fault first and improve backups and security later?

Work can be prioritised by its business impact. Troubleshooting should still take account of backups and administrator permissions to avoid unapproved resets or updates. Other improvements can be assigned separate phases and budgets.

Does outsourced IT cover every issue with third-party software?

Some licensing, application or data issues may still require the original vendor. List your main systems so we can agree responsibilities, contacts and escalation between AL-Touch, the vendors and your staff.
